SUNY Initiative to Reduce Printing on Campus

The University at Albany is committed to the State University of New York (SUNY) initiative to facilitate appropriate use of University print resources by employees and other authorized individuals.

SUNY’s Print Initiative aims to reduce waste and increase operational efficiencies, simplify and standardized the single- and multi-function printer fleet, and secure and optimize print environments.

This work is a continuation of SUNY and UAlbany's longstanding effort to cut costs and enhance environmental sustainability by reducing printing on campus.

How UAlbany is Enacting Change

SUNY’s Print Initiative is a requirement to print smart and print less. The overarching goals are to reduce printing costs and decrease our carbon footprint.

To achieve our goals and comply with SUNY’s mandate, we must:

  • Reduce our printer fleet
  • Reduce Single Function Printer (SFP) count
  • Remove all directly attached devices
  • Reduce color printing

Reducing the cost for printing will help UAlbany maintain the same level of efficiency while maximizing savings. The University seeks to use cost reductions to maintain and, in some cases, improve service to departments.

To accomplish this, UAlbany’s priority agenda items include:

  • Understanding the needs of different operations, which will provide context to the amount of equipment each should have to maintain operational needs.
  • Ensuring the security of documents being printed, given the confidential and unique nature of many University tasks, especially those related to students and research
  • Educating the campus community on the goals of and tasks associated with universal print

UAlbany’s print operation will phase into full compliance by following these steps:

  • Personal print devices may not be purchased without review, and unapproved devices will not be installed.
  • Toner of any kind may not be purchased, since it is included as part of the SUNY contract. The cost per click printer pricing model provides toner at a steeply discounted rate.
  • Existing contracts will remain in place until equipment requires replacement or otherwise reaches the end of its life. If a current contract incurs an added expense, such as maintenance or the purchase of toner, the University will instead begin the transition to new equipment.

Data Collection

The University is working with an outside vendor, Pharos, to collect campus printing data. The following data is being collected:

  • NetID of the individual printing
  • Specifications of the print job (such as color or black and white)  
  • Amount printed

The contents of the print job will not be collected.

While procurement cards give employees buying capabilities, the University will not install equipment on the University network if it is not an authorized purchase.

Please contact Print Management Services at [email protected] to request authorization to purchase a new printer and/or copier.

Once a print device is ordered, it typically takes two to four weeks to arrive.

Note:

  • Printers and/or copiers must be installed on the University network. They may not be installed directly on a device.
  • Personal print devices may not be purchased with personal funds. All assets must be affiliated with official University business.

 When your device’s toner gets below 20%, it automatically notifies the University’s vendor, Toshiba. Upon receipt, Toshiba will ship the appropriate replacement toner.

A device with 20% toner can provide about 5,000 copies.

If you have equipment that is no longer being used, please follow Asset Management’s surplus process.

Please contact Toshiba at 877-855-1344 to request equipment service. You’ll be asked to provide the number listed on the asset tag, the serial number and equipment location.

The University is purchasing new, standardized printing equipment based on current usage patterns and printing needs.  

Available equipment can be customized for an additional fee, as outlined below.
