Deadlines

In all cases — whether they are mandatory cases, cases up for reconsideration, promotion only, early consideration for tenure and, where applicable, a new faculty appointment — the Dean must inform the Office of the Provost of the candidate's name and nature of the personnel action before beginning the preparation of the file.

Failure to inform the Office of the Provost will jeopardize the candidate's opportunity for timely consideration. It is especially important that Chairs and Deans communicate their intention to send up a mandatory case for tenure in a timely manner, as UAlbany must comply with deadlines imposed by the SUNY System to move the case forward on mandatory cases and the University-level review committee must have sufficient time to schedule a discussion about these cases in order to comply with the required deadlines. The effective date of promotions cannot precede the date of the President’s action.

Two sets of deadlines, corresponding to two possible review cycles, appear below. The particular review cycle for a faculty candidate will depend on the date of initial appointment, approved prior service (where applicable) and leave status (if applicable) during the initial years of employment. Most candidates will be in an appointment cycle that corresponds with a decision by the start of the fall semester. Candidates being considered early for tenure and promotion may be reviewed in either cycle.

A candidate and department should begin preparing file for promotion and/or continuing appointment by this date, at the latest.

Those steps include finalizing candidate statements and CV; identifying external reviewers for solicited letters of evaluation; preparing and sending requests for external letters of evaluation; and beginning to prepare citation indices.

September 1, 2014 January 15, 2015

A candidate must notify department Chair — copying to Dean and Provost — of their request to be considered for promotion or tenure by this date, at the latest.

For mandatory cases involving continues appointment, the Dean must forward cases to the Office of the Provost for review by the Council on Promotion and Continuing Appointment by this date, at the latest.

February 1, 2015 September 1, 2015

For all cases involving only promotion and for continuing appointment requests in the non-mandatory year, the Dean must forward cases to the Office of the Provost for review by the Council on Promotion and Continuing Appointment by this date, at the latest.

Note: Non-mandatory cases received by the Office of the Provost after the due date will be reviewed in the following academic year.

May 1, 2015 December 1, 2015

The Council on Promotion and Continuing Appointment completes its review and forwards all recommendations to the Provost.

May 30, 2015 December 31, 2015

The Provost completes her review and forwards all recommendations to the President.

By August 31, 2015 By January 31, 2016

The President makes a decision and the candidate is notified.

The case is forwarded to the Chancellor for confirmation of President’s decision.
