Policies pertaining to Student Disciplinary Records

Pursuant to SUNY’s Records Retention and Disposition policy, all student disciplinary records will be retained for a period of seven (7) years from the end of the academic year in which the Student Conduct Referral was resolved. However, there is one exception, student conduct referrals resulting in either disciplinary dismissal/expulsion or a transcript notation of “withdrew with conduct charges pending” will be kept indefinitely.   

As per the Records Retention Policy, if Community Standards has a student disciplinary record, they may release the record in accordance with the Family Education Rights and Privacy Act (FERPA). Students may authorize the University to release any disciplinary records by completing the Consent to Disclose Education Records form.  

 

How to Request Student Disciplinary Records

 

Instructions for Students & Former Students

To request your own disciplinary records, complete the Community Standards Disciplinary Records Release Request Form.

Please allow the Office of Community Standards up to five business days after confirming your identity to complete your request. Failure to provide complete information and proper authorization may delay processing. 

 

Instructions for Third-party Entities

Before a third-party entity (such as a parent, guardian, attorney, employer, etc.) can request someone else's disciplinary records, that student or former student must file a Consent to Disclose Education Records form with the University. The completed form must include the name of the party to whom the records can be released.

Once the student or former student has filed that form, the party requesting the records should email the following information to [email protected]:

  • Name of requesting person, agency or organization 

  • Requester's address, email and phone number 

  • Student’s full name, date of birth and UAlbany ID Number (#00 Number) 

  • A specific description of what information is needed along with instructions for return. 

The Office of Community Standards will reach out to you to confirm your identity via Zoom or in person before sending the information. 

Please allow the Office of Community Standards up to five business days after confirming your identity to complete your request. Failure to provide signed authorization may result in a delay in processing.
