UAS Program Funds

Each year UAS provides funds to support events on campus which foster educational growth and community involvement.

The UAS Board of Directors has established a standing Program Fund Committee, responsible for receiving funding requests from campus organizations, determining whether the events meet the established criteria for UAS Program Fund grants and allocating funding.

The UAS Board of Directors allocates money each year in the UAS budget to support UAS Program Fund grants. The largest percentage of the funding is awarded two times a year, in the spring and fall. A small percentage is set aside for funding supplemental requests throughout the year.

Applying for Program Fund Grants  

  • Program Fund Grants are awarded twice a year, in the spring and fall
  • Deadlines for application submission for the 2014-2015 School Year:
    • Friday, April 4, 2014
      • For events occurring between July 1, 2014 and November 30, 2014
      • Award notifications will be sent by on-campus mail at the end of April 
    • Friday, October 3, 2014
      • For events occurring between November 1, 2014 and June 30, 2015
      • Award notifications will be sent by on-campus mail at the end of October
  • There is no set limit on the amount of funding that can be requested
  • Applications must be submitted electronically
  • Refer to the Funding Guidelines for required event qualifications and for expectations if funding is awarded

Applying for Supplemental Program Fund Grants

  • Supplemental applications are still being accepted for the 2013-2014 school year
    For events that might arise during the school year, a small percentage of funds are set aside by the UAS Program Fund Committee for Supplemental Program Fund grants   
  • Applications can be submitted throughout the school year and will be considered for funding until the funding pool is exhausted
  • Supplemental Fund recipients can receive up to $1,000 for their program or event
  • Refer to the Funding Guidelines for required event qualifications and for expectations if funding is awarded  
  • Applications must be submitted at least 30 days prior to the date of your event to allow the UAS Program Committee time to review your submission

    • You will receive confirmation when your application has been submitted successfully
    • Please expect the review process to take at least a week, once your application has been submitted

Receiving Funding 

  • Every group that submits an application will be contacted by letter, indicating whether or not the group has received an award, and if so, for how much
  • Funds are to be used for the event and purpose indicated on the original Program Fund application

Using Your Funding  

Before The Event:

  • Have vendors/speakers sign an agreement or contract to provide services
  • Use UAS business partners if they can provide similar or identical goods and services (UAlbany Dining, UAlbany Catering, The University Bookstore, Coca Cola), Please note procedures for using Program Funds for purchases at the bookstore
  • If your event includes serving food, contact UAlbany Catering (518-442-5986 or catering@albany.edu) to arrange for food service.  If you will be obtaining food from a non-UAlbany Dining food source, contact the UAlbany Dining Office (518-442-5085) to obtain permission. Food service providers other than UAlbany Dining are allowed to provide food for UAlbany events if they ae approved by UAlbany Dining and meet food service safety standards.  For more information about ordering from UAlbany Catering or requesting permission to use a non-UAlbany Dining source, visit the UAlbany Dining website.

After The Event

UAS can provide payment directly to vendors that provided the services for your event. Send UAS:
  • A completed disbursement form (Included in the packet with the approval letter)
  • Original invoices that need payment
  • Documentation of your event showing UAS sponsorship (flyers, programs, posters, etc.)
  • Please Note: Completed disbursement forms, receipts and back-up documentation are due to the UAS office no later than 60 days after the event has occurred, but under no circumstances later than the end of the fiscal year (June 30th) in which the event took place
    • - Failure to submit the required disbursement materials within 60 days following the event (or before June 30th of the fiscal year in which the event takes place) may result in forfeiture of the Program Fund grant 
    • - 90 days after the event has taken place, appeals and requests for exception will no longer be considered
