Changes to Delivery Procedure of IT Equipment
This is to alert you to a very important change in the procedure for the delivery of IT equipment, including desktop computers, printers, and laptops.
In the last few years, and particularly with the increased use of the procurement card by campus departments, direct shipping has already become the de facto procedure for most IT items ordered and received on campus. Benefits of direct shipping of IT equipment include improvement of internal controls and security, and getting equipment directly to the hands of the intended owner as soon as the equipment arrives on campus.
Effective Monday, February 25, 2008, Information Technology Services (ITS) will no longer handle receipt, contents verification, unpacking, and equipment tagging for these items. With this change, the Central Receiving dock in Social Sciences will no longer accept any computer or IT-related equipment deliveries due to liability, storage and security reasons.
To ensure that equipment is delivered as intended, any IT equipment purchased with a procurement card or a requisition form must now designate direct shipping information:
(1) The individual, the individual's phone number, and the department to receive such IT equipment;
(2) The local campus building/room address (e.g., "Humanities Room 215") to receive the purchase.
The delivery site should be a location where staff is present during the normal business day to accept and secure equipment.
Please note that larger IT deliveries requiring dock access need to be coordinated between the vendor/shipper and the ordering department prior to the arrival of the order, specifying immediate inside delivery of all items. Large orders should pay heed to shipping options that provide inside delivery. No PC or IT deliveries may be stored on the dock.
