The Digital Media team tells the University's stories through dynamic video, photography, and other visual means.

Our Role at UAlbany

The Digital Media team creates content to communicate with prospective students, faculty and staff, and to enhance UAlbany’s reputation and brand.  

We take photos and videos at major UAlbany events and activities, and shoot hands-on research to showcase the University’s unique opportunities and strengths. 

We provide photography and videography to our campus partners at no charge and take official portraits of faculty and staff members by appointment only. We also accept requests to shoot studio or outdoor portraits and other University events. Requests are reviewed on a case-by-case basis. 

We do not shoot celebrations, parties or other social events held by departments, offices, clubs or student organizations. 
 

Request Photos and/or Videos

Please email [email protected] to request photos and/or videos. Requests must be made at least two weeks before the content would be shot. 

We evaluate each request based on how well the project aligns with our core mission and the availability of our staff. We will respond to say whether your request has been approved and/or to ask for additional information. 

Note: If your request is related to a project being coordinated or managed by the Office of Communications and Marketing (such as a brochure or website), please instead work with your OCM contact to coordinate photos and/or videos.  

Faculty & Staff Portraits

Official studio portraits are available to UAlbany faculty and staff by appointment at no charge to either the individual or their department.

The Digital Media Studio — located in the Sub-Basement in LC SB 17 — can be reached using these directions:

  • Take the elevator from either the podium level or the LC level to the bottom level (the sub-basement). 

  • When you get off the elevator, take a right. 

  • Go all the way down the hall, and the Digital Media Studio is on your right (LCSB-17).    

Elevator access points are located on the podium near the University Library and on the west side of the LC level next to the Test Scanning Services office (LC27).   

Typically, portrait sessions are available early in each semester. To request an appointment or to find out when the next portrait sessions will be scheduled, please email [email protected].   

Guidelines for Use of UAlbany Photos 

Digital Media maintains the UAlbany Photo Database, a rich archive of campus photos. However, please note: 

  • The images are intended solely for the advancement, promotion and positive portrayal of the University at Albany.  

  • UAlbany students, faculty, staff and alumni may use these images for non-commercial purposes without charge. 

  • Outside media outlets, organizations and publications must seek prior approval from the University's Media Relations team

Please ensure any students whose faces are recognizable in a Digital Media photo have signed our release form. Without this form, you may not use the students’ likeness in digital or printed marketing materials. Photos with signed release forms are tagged “release” in the database. 

Some photos in our database are not available to the public. To access those photos, please email [email protected].  

The Office of Communications and Marketing is not responsible for any charges billed by off-campus photographers for using of their photos/services, any charges associated with using stock photography and/or any charges incurred for using images without proper permission. 

If you use an outside photographer’s work, copyrighted photographs or any other copyrighted art in your publication or on your website, you are responsible for obtaining the appropriate licenses, usage rights and/or permissions and for paying any associated costs. 

 

Guidelines for Photography, Videography & Other Filming on Campus 

The Office of Communications and Marketing (OCM) and the Division of Finance and Administration work cooperatively to evaluate requests and process revocable permits for filming. The word “filming” as used in these guidelines shall include video, still photography, audio recording and digital imaging. 

When evaluating any filming requests, the University considers the purpose/intended use of the project, potential disruption(s) to campus, use of trademarks and images, and availability of location(s). UAlbany follows SUNY’s policy for Use of Facilities by Non-commercial Organizations

Step 1: Receive approval for filming

You must first submit a filming request to the Office of Communications and Marketing by contacting Michael Parker via email ([email protected]).  

Requests must be submitted at least four to six weeks before the intended filming date(s). Please also include specific locations, a shooting schedule, storyboards, scripts, etc. 

Step 2: Obtain a revocable permit

If your request is approved by OCM, you must next apply for and receive a revocable permit from the Division of Finance and Administration.
