CURCE Undergraduate Conference Travel Grant

Students can apply to receive funding toward the cost of attending a local, regional, or national conference related to their academic major and/or current research.  Award amounts are for up to $500, and the amount will be determined based on the information provided in the online application.

A committee of faculty and staff will review applications once a month.  Please plan accordingly as checks/funds can take up to four weeks to process.

Please note: Funds are available on a first come, first serve basis.  If all funds available through the CURCE Undergraduate Travel Grant are dispersed prior to the last application date, the application process will close and an announcement will be posted on the CURCE website and sent via email to the University at Albany campus community.

Eligibility/Guidelines:

  • Must be a matriculated University at Albany undergraduate student.
  • Applicant must provide proof of registration to present (an oral paper, poster, or other format) at the conference (a copy of the preliminary program or confirmation email from conference organizers).  Funding will not be awarded to students who are not presenting.
  • Conferences must be held within the United States. Per New York State Executive Orders 155 and 156, grants will not be approved for travel to North Carolina or Mississippi.
  • Must be in good academic standing with a 3.0 GPA or higher.
  • Airfare travel is subject to strict regulations, including using university-designated travel agents.  Applicants applying for funds to cover/help cover airfare must first consult with CURCE staff.

Criteria for Consideration:

  • Submission of completed application.
  • Submit the title and a descriptive abstract.
  • Full conference information provided including name, confirmation of acceptance to present, location, dates, and relationships of conference presentation to student's academic career development and benefits to UAlbany of the research conference participation activities.
  • Detailed budget information provided (registration, transportation, and lodging costs).  Other sources of funding applied for and/or received for conference participation should be included.
  • Note: Expenses related to airfare, bus, and/or train tickets must be purchased by CURCE.  These expenses cannot be reimbursed.  Transportation by personal vehicle is eligible for mileage reimbursement at the NYS approved rate.
    • It is preferred that ALL expenses related to conference travel (up to $500) are processed and paid by CURCE.  Reimbursements will be granted, but cannot include transportation by plane, bus, or train.

Post Conference:

  • Students awarded a CURCE Conference Travel Grant must schedule a meeting with a CURCE team member within 10 days of award notification.
    • This meeting will be an opportunity to submit all original copies of receipts, make travel reservations, and/or process expenses related to travel.
    • A second meeting may be required to submit additional receipts and to sign any travel documentation forms after travel dates.
  • Students who receive a CURCE Conference Travel Grant are required to register for (free of charge) and participate in the Annual Undergraduate Conference on the UAlbany campus in the Spring 2020 semester (date TBD).  The same poster or oral presentation given at the funded conference will be given at the UAlbany event.
    • December graduates are eligible to present at the Spring 2020 conference.
  • Students are required to complete a post award survey that will be emailed to them after their conference attendance.  Recipients have FIVE (5) days to complete the survey.  Failure to complete the survey will result in ineligibility for future funding through CURCE.

Please note: Award recipients who do not submit receipts, official forms, and/or do not present at the Annual Undergraduate Conference by CURCE will not be eligible for conference travel reimbursement or any future CURCE grants or awards.

CURCE Undergraduate Research Grants

Students can apply for a CURCE Undergraduate Research Grant to assist in purchasing supplies, materials, travel costs to gather data, information, or to perform field or lab research off campus.  Students engaged in similar activities for creative projects are also eligible.  In some cases, high-tech lab sample analysis may be funded, from a reputable vendor.  Award amounts are up to $500, and the amount will be determined based on the information provided in the online application.

Criteria for Consideration:

  • Submission of the completed application including:
    • Project title and abstract
    • Your role with the project - be detailed and note if you are working with anyone other than the faculty member.  This includes other undergraduates and/or graduate/PhD students. 
  • Timetable of activities, including when, where, and how activities will take place.
  • Copies of invitations or other relevant permissions paperwork from off-campus facilities.
  • Full budget information provided, including documented cost estimates and any additional sources of funding applied for and/or received.
  • Copies of costs of materials, from a vendor site, catalog, or letterhead, must accompany the budget (i.e. provide documentation of advertised cost for which funding is requested)
  • Note: Requests for travel (airfare, bus, and/or train tickets) must be purchased by CURCE - no exceptions
    • Pre New York State Executive Orders 155 and 156, grants will not be approved for travel to North Carolina or Mississippi
  • The following expenses are ineligible for the award: the purchase of personal books or supplies for classes, salaries or other reoccurring charges, university tuition, Study Abroad, or other pay-to-participate experiences (independent study credits may represent an exception).  Also ineligible are materials, services, or software available to students within the university (i.e. video recording equipment, reserved from the IMC in the University Library or software licenses commonly found in departments or on-campus labs).  For expenses related to travel for a conference, please apply for the Travel Grant.

Post Award:

  • Students awarded a CURCE Research Grant must schedule a post award meeting with a CURCE team member within 10 days of award notification.
    • This meeting will be an opportunity to make any purchases, reservations, and/or process any related paperwork.
    • A second meeting may be required to submit any receipts and sign any additional documentation or forms.
  • Students who receive a CURCE Research Grant are required to register for (free of charge) and participate in the Annual Undergraduate Conference on the UAlbany campus in the Spring 2020 semester (date TBD).  Students are expected to present a poster or oral presentation related to their funded project.  Presentations may be  for a completed project or a "work in progress".
    • December graduates are eligible to present at the Spring 2020 conference

Poster Printing

CURCE recognizes that printing a research poster can be cost prohibitive for our undergraduate students. New in Fall 2019, we will pay for your poster to be printed through Rapid Copy.

Students presenting at a conference, or at on campus events and programs can submit their finished poster to take advantage of this service. Please note, we require TWO (2) weeks for all printing requests to ensure your poster is printed on time.

Student Memberships

Get Involved and stay up to date on information related to your future goals and profession by joining a professional organization! CURCE will pay for a 1 year membership up to $100 for undergraduate students to join a professional association or society related to their academic major, minor, research area, and/or future career goals! Student members receive information about conferences, scholarships, publications, and additional services through these memberships.
