Configuring Outlook (2000) to Access the Mail Server (POP)
Microsoft Outlook supports the POP method for downloading e-mail from the mail server. Note that with POP, messages are downloaded onto your personal computer and removed from the server unless you specify otherwise. If messages are removed from the server, you will not be able to access them via the web.
- From the "Tools" menu, select "Services".
- Click the "Add" button, select "Internet E-mail" and click OK.
- Under the General tab, enter a nickname by which you want to refer to this new service, and enter information about yourself as requested.
- Switch to the Servers tab and enter the following information:
Incoming mail (POP3): imap.albany.edu
Outgoing mail (SMTP): smtp.albany.edu (for on-campus machines ONLY! *)
* If you use Outlook from an off-campus machine, you must use the name of the outgoing server provided by your Internet Service Provider (ISP). Contact your ISP for details.
Account Name: <insert your userid here>
Password: <insert your password here, if you want Outlook to remember it>
- Click on the Advanced tab, and under "Delivery," select whether you would like to keep a copy of your downloaded messages on the mail server.
- Click OK to finalize your settings.
In order to activate the new service you just added, you must exit and logoff and then restart Outlook.
If you wish to check for new mail automatically, go to the Tools menu and click "Options". On the "Internet E-mail" tab, check the box that says "Check my local network connections for new mail every xx minutes" and enter a value greater than or equal to 15 minutes.
You have now successfully configured Outlook 2000 to download mail from the WebMail server. If you have already created folders using the web interface, please note that Outlook will not be able to see your folder list using POP. The POP protocol can only be used to download mail from the Inbox. Folders in Outlook are stored on your personal machine.
With POP, Outlook will be unable to tell whether your messages were read or not, so all messages downloaded will appear as unread.
